Answering and routing all incoming calls to the company headquarters, which will include calls for some field facilities without a public phone number
Office support to include supplies ordering and stocking, monitoring and managing the office email inbox, and other assigned duties
Receiving, sorting, and distributing all incoming mail, FedEx, and UPS deliveries
Metering outgoing US mail and preparing overnight documents/packages for outgoing shipments
Greeting and directing visitors
Assist with Conference Room and Training Room scheduling and management
Complete invoice filing and maintaining file room organization
Administrative support to include but not limited to filing, copying, scanning, online research projects, assist with miscellaneous projects in Excel, Work, and PowerPoint.
Observe and report on office conditions for COVID compliance.
Facilities & Lease Management Support as needed.
Performing other duties as assigned or requested
Corporate Office Responsibilities:
RECALL – Monthly Service
Iron Mountain Invoice processing
Access card activation/deactivation – photos, forms, etc.
Reconcile Navistar Invoices (work orders)
Facilities Help Desk – Respond & Service Calls
Fitness Center access/waivers
Maintain File Room organization
Meter Outgoing US mail and preparing overnight documents/packages for outgoing shipments
Receiving, Sorting, and distributing all incoming mail, FedEx, and UPS deliveries
High School Diploma or equivalent; some college preferred
At least 2 years of professional work experience
Experience working in a mid-size mailroom environment
Working knowledge of Pitney Bowes or similar mail metering system
Working knowledge of FedEx automated shipping software
Strong working knowledge of Microsoft Word, Excel, and Outlook
Ability to self-manage priorities/deadlines and complete tasks with minimal supervision
Strong interpersonal skills with the ability to maintain a professional demeanor while working with staff of all levels
Excellent telephone, verbal communication, interpersonal, and customer service skills
High degree of confidentiality
Ability to work in a consistently fast-paced environment
Ability to lift and deliver 50-pound cases of paper throughout the office
